Getting started with Porvio: from account to first reviewed note

A careful first setup is faster than fixing an unclear workflow later. Establish the workspace owner, security controls, consent process, templates, and review responsibility before the first live encounter.

Before you begin

Choose one person who can speak for the practice during setup and maintain the account. This is usually a clinic owner, privacy lead, or authorized administrator. Confirm that the practice is eligible to use Porvio in Ontario and that the email address used for the owner account is monitored.

Complete the practice's own review before entering personal health information. Porvio's public privacy, security, responsible AI, and terms pages explain the current product boundaries, but they do not replace advice specific to the organization.

  • Identify the workspace owner and a backup administrative contact.
  • Document who may invite members, manage billing, and review audit history.
  • Decide how patient consent will be explained, recorded, refused, or withdrawn.
  • Confirm where a finalized note will be retained as the official record.

Create and protect the account

  1. 01

    Start with the intended plan

    Choose the capacity that best reflects the practice. Porvio shows the total before any supported confirmation step; creating an account alone does not place a paid order.

    Verify the email

    Use the code sent to the address entered during signup. The verification step ties the account to an inbox the user controls.

  3. 03

    Review the legal terms

    Read the current Terms and Privacy Notice, then record acceptance through the account flow. An organization representative should understand what they are accepting.

    Complete the workspace details

    Use the real practice name, Ontario region information, and the user's professional role. Accurate details make team invitations and audit history easier to interpret.

  5. 05

    Enable email two-factor authentication

    Two-factor authentication adds a short-lived email code when a new session signs in. Each user should also secure their email account and device.

Prepare the first workflow

Start with a template that matches a familiar encounter. Review its section order and clinical instructions. Remove prompts that do not belong and avoid pre-populated statements that could be mistaken for observed findings.

Next, create a test patient that contains no real person's information, open a test encounter, and move through the full consent, capture, processing, review, task, and finalization sequence. Check that the right team members can see the right things and that an unauthorized role cannot.

Complete the first approved encounter

  • Open the correct patient and confirm the identity using the practice's normal process.
  • Explain the documentation method and obtain the consent required for the situation.
  • Record the consent state in Porvio before starting capture.
  • After processing, compare the draft against the encounter and available source record.
  • Correct omissions, contradictions, names, dates, medication details, and follow-up.
  • Finalize only when the responsible clinician is satisfied with the note.
